What is the proper titling for accounts opened by property managers? We currently have the accounts titled as:

Building Inc.
Property Manager Co. Managing Agent

The TIN on the account is that of Building Inc.

Our signature card and resolutions, including the TIN certification, are all signed by the Property Managers.

We currently don't CIP anyone from Building Inc nor do we have any signatures on file from any of the officers of Building Inc. We do have an agreement on file showing where Building Inc has contracted with Property Manager Co. but we have no resolution on file that shows that the officer of Building Inc has authority to contract with said property manager.

We have very little experience with property management companies so I'd like to see what other bankers are doing. Thanks.

We obtain documentation of the agent status from the PM along with routine CIP and due diligence info (creation docs, resolution identifying authorized signers, evidence of status from secretary of state website). The agent status documentation could be copy of agent contract, HOA minutes or HOA resolution attesting to PM agent appointment.
