Do any of your banks allow a business to continue using the same User ID at the request of the owner if the person it was issued to has been taken off the business accounts? In this case, there are numerous bill pays, scheduled transfers, etc. set up under this particular User ID that would be very time-consuming to set up again under a new User ID. We would of course change the password,security Q&A, etc.and on the enrollment form we add a statement similar to what is on corporate resolutions. "This enrollment supercedes enrollment dated ______ signed by _________. All transactions prior to the effective date of this enrollment form are hereby ratified, approved and confirmed." Still not completely comfortable with this. What are other banks doing?

We have them change the passcode and their security questions. Our system also has the option of changing the login ID but that is their choice. We certainly don't have them reapply or jump through a lot of time consuming hoops.

What can someone do with just a user ID and not the correct passcode and security questions? Nothing as far as I know.

My concern is that John Doe signed the Internet Banking Enrollment Form for that User ID for that business (normally a person on the signature card and/or corporate resolution). If someone else starts using it without signing a new enrollment form, then how do you know who has authority to ask for changes on that User ID such as resetting a password? We always make sure it is the person on the enrollment form that is making such a request. We view it as that Access ID belongs to that person at that company, the access ID doesn't belong to the company and whoever wants to use it can use it. For most businesses each person that will have access will have their own User ID so that we have a good audit trail for who did what when. Are we making this too difficult for our customers?

We cannot have multiple Login IDs for one account on our system, so all users authorized by the owners use the same Login. Our Commercial IB Agreement states that if the owner(s) of the account give the Login and passcode to someone else (such as office manager), all activity conducted under the Login and passcode are authorized by the owners.

We also make sure only the owners on the business account are changing the passcode; it cannot be changed by someone not on the account. We do not allow businesses to change the passcode through the system as consumers can; they must call the bank and get their identiy verified before we make any changes.

Too difficult for your customers? Every system is different and all bank policies and procedures are different. We all have to weigh the risk vs. reward and the convenience/inconvenience to your customers while complying with all required guidelines. But we feel our procedures are adequate given that we are a smaller bank in a low-risk area, don't allow external transfers or wire transfers on our commercial Interent Banking customers.
