Has anyone switched to completely electronic files or is there some compliance/regulation issue with doing that?

I ask because we are considering switching over.

I can tell you that our loan files are 100% imaged, but we retain the originals of the important core documents (Note, Security Agreements, Guaranty Agreement, Loan Agreements...) on advise of our counsel. We are in Oklahoma.

Pulling people out of the ditc...
so you mean keeping an image copy of all forms instead of hard copy? we do that...forms imaged within 48 hours of completion, hard copy kept 30 days, then sent to files for 12 months, then gone...image never eliminated...

Make sure that your retention program covers it adequately, especially that you can retrieve and delete.

The last thing you want is a subpoena for "everything associated with" and realize that the bank does not have the capability to search for pieces of paper and never deleted anything for the past 10 years. Also, it can get very voluminous very fast. Define what you need to keep. E-mail from CEO to all staff will be in everyone's retention, along with all of their responses to everyone and attachments.
