I need a quick answer on what is required or best practices on when a W8-BEN is expiring. I inherited the expiring list and need to know if a non-US person who previously completed a W8-BEN and they now have an ITIN or SSN (for tax reporting but still a resident of foreign country) do we need to get an updated form signed?
I always err on the side of caution and get more than less but I wanted to see how others handle this process. I sent the expiring list out and am questioned why we need a new form if they now have a tax ID number.

If the original W-8BEN received was one without an ITIN/SSN and the renewal was approaching and I had knowledge now that they had an ITIN/SSN, I would request a new one be signed with the ITIN/SSN on it and be done with it.

A nonresident alien can have either and still be a NRA.

That's correct. The way I understand it is an NRA completes a W-8BEN and a RA completes a W-9.
