Doing an abandoned property audit and observed official checks being sent to out of state treasury office's after being 3 years outstanding across the board to every state. Some state dormancy periods are 5 years. Should these checks be held according to each state's dormancy period or can they be sent at our own state's dormancy period which is the 3 years.

Holding some for 3yrs and some for 5yrs highly complicates the tracking and reporting processes because of a large amount of abandoned property and checks. I'd like to know how others are going about this?

Check your state's unclaimed property law. For Washington state:

How do I report property for an owner in another state?
You may file property that belongs to another state with your
Washington Unclaimed Property report as long as it is 10
or fewer properties, totaling $1,000 or less. For items that
exceed these qualifications, your must report directly to the
other state(s). Once your report is received and balanced,
our office will forward the names of out-of-state owners to
the appropriate states. Whether you report the property
to our office or to the state directly, you must follow each
state’s laws on dormancy periods. Some states may
require you to report to them directly even if the property
is considered incidental.

You must escheat unclaimed property to the state of the owner's last known address as shown by your records, and you must follow the rules of that state. You cannot only escheat to the state where the account is held, or where the holder is domiciled.

If the owner's last known address is not known by the holder, or is outside the United States, escheat to the state where the holder is domiciled.

Yes, it is a pain. Several vendors had cheat-sheets for unclaimed property.
