Is there any written guidance regarding physical (paper) retention of returned mail? Referring to items such as statements and other documents that are retained electronically before mailed.

We have the electronic image of the item mailed. We also scan and retain an image of the outside of the returned envelope showing the Post Office sticker.

Do we need to retain the physical document?

Most likely a state law retention issue, especially if the lack of activity or loss of contact triggers escheatment laws.

Generally, if you can reproduce the statement from your digital files, I don't see a need to keep the physical paper statement that was returned.
