How do you document or log FinCEN requests (showing that you've checked vs. had a hit)? Our method apparently isn't up to par. Thanks!!

I print out the request sheets and I print out the results of our database scrub. I have documented on the scrub results that the item is not a match. I send an email each time to my senior management advising there were no hits and a copy of that email, the search requests and the scrub results get filed by month.
