Our tellers currently have a log for each business customer who makes night deposits where we ask the person who picks up the night deposit bag to sign that they received the bag. In an effort to reduce unnecessary procedures, we are considering discontinuing this practice. We are not sure why we are doing it and see no benefit or purpose. Do any other banks do this and if so, what do you accomplish with it? We think this is one of those things that started somewhere and "we've always done it." If someone doesn't return the bag to the business and not sure why they wouldn't but it has no money in it - does have the copy of the deposit slip, however, tellers know who is authorized to pick up the bags and the deposit slip can be duplicated for the customer, if necessary. Unless they are picking up locked bags, I see no purpose for the practice, either.

In our bank we have a similar procedure. The signing upon receipt of the bag is for multiple reasons - being able to verify an authorized employee is one, and being able to track who picked up the bag for the business is another. (Many times they call to find out who picked up the bag, and when.) The log also gives us a chance to verify that all is done under dual control.

We started that procedure because an examiner asked to see ours which we didnt have at the time. We were then questioned, "how do you know or how can you prove who picked up the bag". Our business customers sometimes recieve change orders in their bag. If it didnt make it back to the business and the person picking it up denied doing so, it would be our word against theirs.

We do not have a log for our customers when they pick up a night depository bag and we have not recieved any comments on this from an auditor.
