I am fortunate to work for a financial institution where the compliance staffing is actually increasing! But, as a result, we need to organize our work and research. I am looking for some software which would allow us to log and track the various compliance functions. I envision a product where we could log informal questions and our answers (because you know the question will come up again!). Then, there should also be a way to log the formal inquiries that we create. And then, it would be great to also be able to keep a simple log by topic or Reg, of various issuances and articles by date and source. I don't know how many times a question comes up and I remember seeing something, somewhere, that applies and then spending an hour searching for it. I'd like for this to all be housed in one place with search and filter capabilities. With what I envision, I don't think Excel would be robust enough to handle everything. Am I asking for the moon? Is there such a thing out there?

I don't know of any program designed specifically for the purpose you indicated.
You could do this in Microsift Access or have someone that knows how to use Access set it up for you.

I agree w/ CubDave. We are just starting to use the intranet for compliance issues. If there is something that is bank wide, I send an email and refer them to the specific section on the Intranet. Eventually, the Intranet will have an entire "Compliance Corner" that will cover a topic a month, hot buttons, info on upcoming exams, etc.
On our mortgage side, they have a directory that is specific to them which includes processing info, investor memos, rate sheets, etc. We are doing everything possible to steer our employees to the Intranet since we also keep HR, IT and corporate relations info there as well.

If used properly, an Intranet is great. I wish I could say we use it to its full potential - we do not, but that is because certain department heads do not choose to. I use it extensively for Marketing - all campaign materials and logisitics are there for reference by front line staff. Also, newsletters, photos, rates, etc. Compliance keeps our internal policies up-to-date and also links to compliance resources. It also is very easy to set up FAQ sections. It may not be as automated a "software" system as was originally queried in this thread, but with a little elbow grease and a careful eye on making sure information is kept current, it is a nice homegrown resource that can serve a multitude of purposes.

I just ran their Shockwave demo. Not bad.
About a year ago I evaluated a compliance matrix which was based on the idea of a calendar with requirements and due dates. I don't remember the brand, but I can try to find it if that sounds useful.

You're welcome Carl ...like I said I have implemented the product in 3 banks (1 OTS, 1 OCC and 1 FDIC) ...the examiners loved it and it helped me organize the compliance function. We are now using the Internal Audit module and Internal Control. I am waiting with baited breath for the browser version ...promised summer 2003! Good luck, Kay

I've looked at CompliancePro before but that's not exactly what I am looking for. I'm not looking for software for monitoring of the compliance program and storing results of audits, etc. I'm looking for more of a data storage type software that would only be used by the Compliance Department to store all the tidbits of information that we use on a daily basis, and to have available in an easy to use format for recalling and or re-use. I saw something like this once on a website but of course, now have no idea where it was.

I think it's called BankersOnline, specifically the Bankers' Threads Discussion search feature - after all, what more can you possibily need????

Let me know if you find something. I too would be interested. Bankers Online is a terrific resource. But, it seems like you have a need for your own personal record system. Currently, I maintain records of request/interpretations on a simplistic self-designed form. I have folders set up and file these forms electronically by category. When I need information on a subject that I believe we have dealt with in the past, I either browse by folder/file or use the search function. Disclaimer: My opinion above is not intended as legal advice because I am not a lawyer. If I were, I would be charging for my thoughts at the rate of $300 per hour in addition to fees for phone calls, copies, faxes etc. My ramblings are certainly not the opinion of my employer and, if you ask my wife, not worth 2ยข.
