A recent audit of our mail process for receiving checks and cash by mail pointed out that we need new procedures to follow when sorting our incoming mail. I am looking for some guidence on where or how to find a better way for our courier to handle incoming mail with checks or cash. Thanks!

Do you have a specific PO box for payments? If so, that mail could be opened under dual control. The problem I've often encountered is with a post office that doesn't care about which PO box something is addressed to - it's all to the same bank, right???

I believe we have one post office box for all the mail. So all kinds of things come to one box. The other issue we are running into, how do we open all this mail and somehow keep track of all of it?

I don't know that I've seen banks log their mail like they would night deposits.

amsr3d, we do log our mail just like our night deposits. It is all opened and processed under dual control. We are a small bank (approx. $240 million)and this works fine for us. Not sure how it would work for a larger bank.

I work at a large bank and we log our mail under dual control. Any mail that does not have ATTN: marked on it, is logged. Unless it was obvious junk mail.
