All,

What requirements do you have in place for receipt of your trailing documents (recorded MTG/DOT & Title Policy mostly)? We're exploring the option of requiring them to be sent via a trackable method (example: FedEx, UPS, Certified Mail etc). The issue we're running into is that they're sending them via regular mail USPS and "they're getting lost in the mail".

I would appreciate any suggestions/processes you have in place to limit this.

Honestly, I don't see how you can 'require them to be sent via a trackable method'. You can suggest but it could be cost prohibitive.

If recorded docs 'get lost in the mail', the sender should have to procure certified copies of the recorded docs for you. The cost of a few of these should get the docs sent in a safer manner in the future.

As for title policies, we see more and more companies just emailing the policy to us directly. I can copy the email directly into our scan system or print out a copy if the loan is going to an investor.
