Poll on who is retaining a copy or scanning ID's? - 10/10/03 11:49 PM

I would be curious to know if you are photocopying or scanning ID's AND are you doing this in addition to recording the ID information elsewhere? (We're trying to make a decision as to whether we want to continue photocopying and scanning ID's so I'm interested to know what you all are doing. Thanks)

We are scanning. While we do have built in fields for ID type and number in our CIF, we do not use them because it is redundant.

We are not scanning or retaining IDs. Descriptions are maintained for CIP purposes.

We are copying, at the moment, as an internal control measure. Once we believe that everyone has a grip on what they are supposed to be doing and the info they are to be gathering, we will stop. But, even though we had a KYC policy in place, there were no requirements to obtain and record info like DOB or issue/expiration date of ID document.

We are not copying ID, just noting all of the details, i.e., type, expiration, etc.

We are scanning in ID's and documentation such as utility bills, corp. resolutions, trust docs. and such- so far it is going well.

We copy/scan ID on the operations side of the bank, as well as maintain a document with the 4 required pieces of info, but on the loan side of the bank, we do not copy or scan ID. We merely keep the required info.

We copy and retain. Copies of id for new loan customers are stored on the deposit side of the bank away from the loan files. Why take chances?

We are copying IDs and keeping them on file at the branch level for all new accounts including loans and brokerage.

We do both - some of our wholesale lenders require a copy but we do not take copies on the deposit side or our own lending side of the house. I think it may be better to have people actually look at the ID and write (or input) the info rather than copy an expired ID and go on their way.

A $150 Million community bank, in house processing, document imaging, new account and loan platforms. We decided in Oct 2002 to retain the ID and copy, scan the copy.

After the June 03 CIP release, we stopped requiring copying he ID's. The copies were not visable, waisted branch operations and the scanner operator's time. The scan of the id's were not reproducible. This was the jist of the comment made to Fed 7-14-03 against the photocopy of the ID requirement.

We make copies for new deposit customers and loan customers. They are currently store away from the loan files and deopsit files.

We try to keep copies of identification in a central information file and specifically not the loan file. It has been brought to my attention that ID is included with some unaccepted and denied requests. I do not really want to leave the ID is these denied and unaccepted files to give the impression our decision was based on the ID provided, but I do not want to toss the information in case they would come back to bank. These are not assigned a customer number to file them under. What do other banks do in this area? Thanks

We are not retaining copies of ID but are scanning copy of account info sheet that automatically prints with sig card and has all ID info checked at acct opening
