We still keep some info manually. For example, we don't do a lot of Int'l wires. therefore our wire dept. keeps a spreadhseet of pertinent info. Been doing this since 2007. Now, the spreadsheet is getting rather long. I would like to chop it into years, for example, all wires for 2008 on one sheet, then a new sheet for 2009 RATHER than one continuing sheet. It is becoming unweildy when I do different sorts, i.e. by country. Suggestions welcome!!!!

Most record retention for BSA related documents are 5 years unless they are related to CIP. I would say that you should keep them for 5 years and by breaking them down into separate years, you are able to destroy the spreadsheet once it reaches the 5 years.

Thats just my opinion.

Ok, for examination purposes, how many years would you keep "close by"? For example, with wires we can sort by beneficiary, country, etc. The spreadsheet is getting too long. Do you think examiner expectations would be to show that we are tracking this info over years or can we go from year to year???

We use a spreadsheet like this. We have a seperate spreadsheet for each year and examiners have never had a problem with it.

Perhaps you could keep it on one spreadsheet with a different tab for each year...that would allow you to do some long term graphing, if needed, to look for changes in volumes over time
